Role Overview
Day-to-day execution of HR tasks and processes, ensuring that recruitment, onboarding, and employee support happen seamlessly and at pace.
Key Responsibilities:
BambooHR super user:
- Keep all employee records up to date.
- Get onboarding and offboarding working better, including the integration between Xero and Bamboo
- Maximise our utility of the system by exploring other modules which may assist some of our manual processes (e.g. 1:1s, Pulse Survey)
- Ensure employees and managers understand how to effectively use BambooHR for HR-related processes.
- Provide ongoing support and troubleshooting for BambooHR functionality.
Recruitment Coordination
- Own the end-to-end recruitment process under guidance from the Head of People & Culture.
- Support managers with the recruitment process, noting the managers will handle role specifications, interviews, and final selection. This role will muck in on the legwork (a lot or little, depending on the volume at the time and the needs of the hiring manager), such as:
- Ensure managers follow the right steps when hiring.
- Post job ads and manage job listings or liaise with recruiters
- Screen CVs and conduct initial phone screenings.
- Manage communication with candidates and recruitment agencies where required.
- Assist in reference checks, though hiring managers will primarily own this process.
HR Administration
- Be the BambooHR superuser, maintaining accurate employee records
- Administer onboarding and offboarding processes, ensuring a smooth transition for new and departing employees.
- Prepare employment documents including contracts, promotion letters, and salary review letters using templates.
- Keep the org chart updated with accurate reporting lines and titles
- Administer the annual remuneration review process (data collation, document management)
- Ensure HR documents, templates, and policies are current and accessible; identify and fill policy gaps
- Track and send reminders for Middle East visa and health insurance renewals
- Keep employee records up to date, including changes in salary, roles, and employment status.
- Making sure “people” processes are happening, and are useful via admin support and tracking of participation: (e.g. 1:1 meetings, probations, annual salary review etc)
Other People & Culture Support
- Provide Tier 1 HR support, addressing employee queries and minor concerns.
- Have a finger on the pulse on how the team is going, for example by:
- Being around in the office / chatting to the team including virtually
- Running the pulse survey
- Checking in during onboarding, and running exit interviews
- Help prepare materials and logistics for People-related initiatives (likely led by head of People & Culture
- Contribute to fostering a positive workplace culture through proactive initiatives around office amenities, social activities and the little things (employee gifts on special occasions, or recognition and reward opportunities etc).
- Ensure the office remains a welcoming and engaging space for employees.
- Support in streamlining manager 1:1s, including possible tech enablement (e.g., Bamboo tools)
- Maintain trackers for key HR processes (e.g., probation, visa renewals, L&D)
Skills & Experience:
- 5 years HR experience
- Strong administrative and organisational skills with attention to detail.
- Ability to handle sensitive information with discretion.
- Excellent communication and interpersonal skills.
- Ability to work independently (with support and direction)
- Experience with HR systems (such as BambooHR) is a bonus, but training will be provided.
